MARC Records - Getting Started

This article is intended to help you get started using Vault Campus MARC Records, which are available upon request. Since we continue to add new titles on a regular basis, update files will be provided on a regular basis and should be added to your records. These updates are not cumulative, thus you will need to bring in all of the listed MARC Record files which end in the “.mrc” file extension.

 

If you need to modify the records, you can download the free MarcEdit software that converts the “.mrc” file extensions to “.mrk” file extensions here. Please note that we do not provide support for the MarcEdit software as it is a third-party application. All help documentation will need to be obtained using the documentation help features within the MarcEdit software or by contacting the MarcEdit vendor.

SUBSCRIPTION MARC RECORDS PROCESS

 

A MARC Record Base File will contain title records for all titles available as part of the institution’s Vault Campus subscription once their subscription begins. MARC Record update files, containing title records, will be provided on a regular basis after the corresponding titles have been added to Vault Campus.

 

 

MARC RECORDS INTEGRATION

 

In order to integrate the provided Vault Campus MARC Records into your institution’s cataloging system, you will need to perform the following steps:

 

  1. Save the MARC Record file in a location on your computing device.
  2. Access your institution’s cataloging system and upload the MARC Record file into the cataloging system.

 

 

CONVERTING MARC RECORD “.MRC” FILE EXTENSION TO “.MRK” FILE EXTENSION USING MARCEDIT

 

In order to convert the provided MARC Record files from the ".mrc" extension to the ".mrk" extension, using the MarcEdit software, you would need to perform the following steps:

 

  1. Click on the MARC Record file so that you can open it. The MARC Record file can only be opened by a compatible program and since the MarcEdit software is the compatible program then the MARC Record file will be opened using the MarcEdit program.
  1. Once you have clicked on the MARC Record file that you downloaded, you will then be prompted with a "MARC Tools" dialog box. Please use the following link to view a screen capture example of the “MARC Tools” dialog box:  http://screencast.com/t/tSXGcKwcuf . Per the screen capture example, you will see the two highlighted sections; one highlighted in the color Red and the other highlighted in the color Green.
    • The section highlighted in Red will outline the location path on your computer where the MARC Record file, in the ".mrc" extension, is currently saved.
    • The section highlighted in Green will highlight the location path on your computer where the ".mrk" extension copy of the MARC Record file (in the ".mrc" extension) will be saved by default.
    • You may click on the Yellow folder icon (with a green downward arrow) that is listed in the upper right-hand corner of the Green highlighted section, from the screen capture example, to select a different location path on your computer where you would like the ".mrk" extension copy of the MARC Record file (in the ".mrc" extension) to be saved.
  1. You can then click on the "Execute" button that is highlighted in Blue, from the screen capture example, so that the ".mrk" extension copy will be saved to the corresponding location path on your computer that is outlined in the Green highlighted section.

 Once you click on the "Execute" button, the <Results> field at the bottom of the dialog box will also populate with a number representing the total number of the title records which will be present in the ".mrk" extension copy.

 

  1. Once you have clicked on the "Execute" button, then the ".mrk" extension copy will be saved and you may navigate to the corresponding location path on your computer to open and edit the file accordingly.

 

IMPORTANT: The information listed above is accurate as of “version 6.0” of the MarcEdit software and is provided only as supplemental information.

Please note that we do not provide support for the MarcEdit application thus we are NOT privy to any future updates of the software which may alter corresponding functions.  All help documentation will need to be obtained using the documentation help features within the MarcEdit software of by contacting the MarcEdit vendor.
